About the Position:

The Staff Accountant position performs responsible, complex accounting of general and restricted funds within the Business Services division of the College. Will work independently, plan details of procedures and methods to obtain definite objectives and make decisions within broad limitations of policies and professional standards.

Essential Functions/Duties:



  • Collaborate with Accountant - Payroll/Grants and Grant Administrators and Accountant - A/P and Construction.
  • Assist in development of grants budgets.
  • Reconcile and update expenditures for individual grants.
  • Reconcile payroll related accounts and budgets.
  • Reconcile grant total expenditures and assist Accountant - Payroll/Grants regularly to prepare revenue requests to be submitted to grantor using various grantor reporting systems.
  • Assists Accountant - AP/Constructions in the development of budgets for all facilities renovation, remodeling and new construction projects.
  • Maintain and reconcile the Capital Outlay reports and project ledgers. Monitor and communicate potential reversion of funds to Accountant - AP/Constructions.
  • Maintain and reconcile the College's plant fund subsidiary ledgers.
  • Assist Polk State's High School Principals and Assistant Controller - Operations to properly account for and report expenditures related to High School activity.
  • Assist in annual budgeting for Polk State's High Schools.
  • Reconcile accounts and prepare/submit monthly financial reports for High Schools as required by PCSB.
  • Complete annual financial reports and cost analysis for Polk State High Schools.
  • Continual evaluation and enhancement of grants processes and procedures.
  • Prepare ad-hoc accounting reports as requested.
  • Maintain knowledge of State and Federal regulations pertaining to State College fiscal operations
  • Attend seminars/classes as needed for professional development.
  • Maintain regular attendance/punctuality.
  • Provide exemplary customer service and reacts with professionalism at all times when dealing with both internal and external customers.
  • Performs other duties as assigned.

Required Education:

Graduation from an accredited College or University with a Bachelor's degree in Accounting or related field is required.




Required Experience


One year of related (accounts payable, accounts receivable, cash handling, payroll, grant management) experience is required. Internships and course project work may be applied.

Preferred Experience:

Two years of professional accounting experience is preferred. Governmental Accounting experience or related college course work is preferred.
