Summary The Project Admin II will be responsible for assisting the projects team in coordinating and managing the entire project from startup to closeout, including but not limited to, quoting, scheduling, project coordination, billing, submittal documents, and project close-out documents, as well as other duties as assigned. The Project Admin will be the primary administrative support to the Projects team.   • Vendor Interaction

    • Requesting lead times, ship dates, shipping information for projects assigned.
    • RGA requests.
    • Credit follow up on RGA's.
    • Cash sale quotes and small orders.
    • Request updated pricing for revised BOM's.




  • Project Coordinator interaction

    • Review customer billing information against Customer Purchase order amounts and product descriptions.
    • Review money sheets for PC.
    • Work with project managers to ensure correct financial information.
    • Review approved or red lined submittals, scrubbing BOM for review or release.
    • Shipment summary and or tracking log updates.
    • DTS receiving and releasing.
    • Small change orders and releases on small projects.




Supervisory Responsibility, work environment and physical demands

  • This position has no supervisory responsibility.
  • This position works in a normal office environment, with standard office equipment. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc.
  • Work is generally sedentary in nature but may require standing and walking for up to 15% of the time.

Required Skills

Through previous background and experience, the candidate must be able to demonstrate, with or without an accommodation:



  • Proven ability to start and complete tasks and be detail oriented.
  • Possess in depth knowledge of IES computer systems, Microsoft Office, etc.
  • Must be a team player and abide by IES's strong core values and beliefs.

Required Experience

  • Associate's degree (A. A.) and two to four years related experience and training; or equivalent combination of education and experience.
  • Experience in the Electrical Distribution or Construction industry preferred, but not required.
  • Experience managing small projects from start to finish.
