Job Description:

This position will be responsible for administering a comprehensive system of transcript evaluation for domestic and international students both new and transferring to determine transferability of previously earned credit. This position will also provide support to all campuses concerning postsecondary transfer work, provides outgoing transcript services, and provides quality customer service to Polk State College students and external customers in all such duties. Independent decision-making within the constructs of policy, state, and accrediting body guidelines and best practices are required.

Essential Functions/Duties



  • Possess knowledge of accepted policies and practices in American higher education related to granting of credits and degrees, course structures and grading practices.
  • Analyze, authenticate, and research documents submitted for evaluation of transfer credit.
  • Evaluate documents submitted by degree-seeking transfer students, including Bachelor's and Associate degree seeking Determine transfer course work applicability and/or equivalency following college procedure.
  • Answer, research, record and resolve all questions related to a student's transfer evaluation.
  • Keep abreast of current SACS and Department of Education requirements and policies concerning accreditation and transfer work; pursue professional development opportunities designed to improve effectiveness.
  • Maintain results of evaluations in electronic format in the Genesis
  • Be an expert in the Genesis system functionality as it relates to transcript entry, incoming and outgoing transcript processing and degree audits including the substitution and waiver processing.
  • Respond to Financial Aid, Athletic Department, and Advising on questions regarding student's academic record, and for completion of the files of students receiving VA benefits and/or Federal Aid to ensure that all documents are received, and all transfer credits have been evaluated in a timely
  • Troubleshoot the student database system when transfer or transcript request issues arise.
  • Stay abreast with third-party vendor transcript request software.
  • Advise the College's international representative, program managers, and advisors on acceptability of credit based on Polk State College
  • Assists the Transcript Services Supervisor in other duties as assigned.

  • Requires ability to read standard English, as well as basic technical data, policy and procedure manuals, codes, etc. Requires the ability to prepare forms and reports using prescribed formats. Requires the ability to communicate with a broad array of individuals from various professional backgrounds.
  • Requires the ability to apply principles of logical thinking to define problems, collect data, establish facts and draw valid conclusions; to interpret a variety of instructions or inquiries furnished in written and/or oral form; to acquire knowledge of topics related to occupation.
  • Requires the ability to record and deliver information, to explain procedures, and to follow oral/written instructions. Must be able to communicate effectively with co-workers, the public, and students.
  • Must be able to add, subtract, multiply and divide; calculate decimals and percentages. Must be very detail oriented.


Working Conditions/Additional Information



  • Some evenings and weekends.
  • Must have the ability to work proficiently in a busy, multi-office work area.
  • Must be flexible and able to adapt well to changes


Salary and Benefits Information



  • This position is level C14. Please see below for specific salary range.

Required Education

A high school diploma or equivalent is required.

An Associate degree is preferred.




Required Experience


Two years of experience in student services (Advising, Financial Aid, Academic Affairs, etc.) at an institution of higher education.

Preferred Experience:



  • Two years of experience in transcript evaluation in a post-secondary college or university.
