Primary purpose:

To expedite processes within the organization and collaborate with different teams such as Project Management and Procurement to facilitate operations, materials movement, inventory control, record keeping, and scheduling. The Expeditor will be responsible for monitoring the flow of work from procurement to actual material/equipment deliveries. The Expeditor will identify process gaps and consult with management to determine solutions. Maintaining a clear and open line of communication is crucial in this position. Success in this role will be demonstrated by delivering seamless execution strategies to ensure the timely accomplishment of projects and operations delivery targets.

Essential duties and responsibilities:

  • Primary focus will be communicating with vendors about the status of materials/supplies and equipment.
  • Reviewing purchase orders and confirming orders with vendors upon issuance of purchase orders.
  • Monitoring expediting activities conducted through EPC firms hired by Company and expediting materials/equipment directly purchased by Company.
  • Ensuring vendor's acknowledgement of purchase orders.
  • Obtaining production schedules for engineered equipment.
  • Monitoring project and vendor schedules to ensure timely deliveries and identifying potential slips in the schedules.
  • Communicating with suppliers to determine expected delivery dates and informing Project Managers of potential delays.
  • Collaborating with Project Managers for updates on delivery timelines.
  • Compiling, recording and reporting expediting data and progress to management and key stakeholders.
  • Maintaining market awareness of lead times on materials and equipment commonly purchased by the Company.
  • Providing risk mitigation strategies for long lead time items.
  • Problem-solving to reduce the impact of late deliveries.
  • Acting as liaison between Company departments and vendors.
  • Work independently to manage tasks and timelines.
  • Input and maintain necessary data in company ERP systems.
  • Promote Procurement services throughout the organization.
  • Support stakeholders to help achieve key organizational goals.
  • Develop and maintain a positive working relationship with internal and external stakeholders.
  • Engage with a broad range of stakeholders with tact, courtesy, and professionalism.
  • Communicate clearly, both in person and virtually, using a high level of communication and active listening skills.
  • Maintain a regular, dependable attendance and a consistently high level of performance.
  • Will work non-traditional hours as needed.
  • Maintain a high regard for personal safety, for the safety of company assets and employees, and the public.
  • Other daily, weekly, monthly, or special project duties as identified and defined. * Work with different heads of department to monitor inventory levels, assess supply vendors and ensure delivered supplies meet quality standards.

Minimum requirements:

Education:

  • Associate or Bachelor's degree from an accredited institution in Supply Chain Management, Industrial Engineering, or a related discipline.
  • A minimum of three (3) years of relevant direct work experience may be considered as a substitute for a degree.

Experience/Specific Knowledge:

  • A minimum of at least three (3) years direct or active work experience in expediting procured materials and engineered equipment for business operations and projects.
  • Solid understanding of materials and services procurement.
  • Familiarity with energy industry-related services and commodities.
  • Intermediate proficiency level in MS Office applications, including Excel, Word, PowerPoint, and Outlook.

Certifications, Licenses & Registrations:

  • Must possess and maintain a valid driver's license and a driving record satisfactory to the company and its insurers (for travel).

  • May be required to carry a cell phone and be available to respond during working and non-working hours.
  • The successful candidate will be required to clear a drug screen and a complete background check, including credit report for certain positions, after an offer has been extended and prior to being employed.

PREFERRED EDUCATION, EXPERIENCE, CERTIFICATIONS, COMPETENCIES, SKILLS, & ABILITIES:

Above the minimum requirements, not required but advantageous in this position:

  • Supply Chain certification a plus, but not required.
  • Experience with Oracle Cloud ERP system a plus, but not required.
  • Experience in the midstream energy storage and transportation industry a plus, but not required.
