Position Summary
The Fulfillment Specialist I is responsible to the Fulfillment Services Manager for performing a variety of duties and responsibilities related to providing access to the Libraries' collections and resources by establishing and managing patron accounts and implementing departmental policies and procedures. This position is responsible for providing service to patrons and community members seeking access to UGA Libraries collections and resources as well as materials beyond the Libraries through resource sharing initiatives. This includes determining authorized users, creating and maintaining accounts, facilitating the borrowing and return of materials, taking payments, and addressing queries related to library obligations and electronic resources access. This role assists users in person at the service desk, via email and chat, and over the phone. This position also supports university instruction by processing and making available requested materials for instructors' course reserves.

This position contributes to a team environment, working under general supervision and following established practices and procedures. Work is performed on-site.

  • Ability to deal tactfully and courteously with library patrons.
  • Ability to perform clerical tasks accurately with close attention to detail.
  • Ability to establish and maintain effective working relationships.
  • Effective oral and written communication skills.
  • Familiarity with processing cash receipts, checks and credit cards.
  • Knowledge of modern office practices, procedures, and equipment.
  • Knowledge of word processing and web publishing software preferred (i.e.-Microsoft Word and Adobe Acrobat, etc.)

  • Creates and updates accounts.
  • Takes payments for lost and late materials; and places and removes holds on patrons' accounts in the Libraries' and Registrar's systems.

  • Assists in the operation of the Libraries' resource sharing activities (book retrieval, document delivery, GIL Express) by reviewing and processing requests from UGA affiliates and users from the University System of Georgia.
  • Including: retrieving and processing material for digitizing, holds or transport; processing materials from other USG libraries; assisting patrons in the use of resource sharing services and acting as a resource for library staff within the UGA libraries and throughout the state.

  • Assists the Circulation and Reserves Manager by creating and maintaining course reserve lists using the library system (Alma) and course management system (eLC).
  • Corresponds with instructors, retrieves requested materials, creates temporary bibliographic records for personal items, digitizes portions of materials, provides direct links in eLC courses, reconciles issues, and processes materials at the end of term.

  • Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE (the UGA Libraries' listserv) and other communication tools, and appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.
  • Maintains flexibility and awareness of changes and needs in the department and Libraries by assuming similar duties and responsibilities as assigned.
