Minimum Qualifications
Requires at least a baccalaureate degree in the field. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
Preferred Qualifications
Experience with Banner, Argos, Athena, 25Live, or similar programs. Experience working in higher education.
Position Summary
This position provides academic, administrative and financial support for graduate and undergraduate programs in Horticulture. The position will include duties such as attending and contributing to College-level recruitment meetings, assisting in planning and tabling at recruitment events (some of which may require travel), serving as a contact for CAES to meet with perspective students and giving facility tours, organizing and scheduling meetings, seminars, conference calls, orientations and academic retreats, including planning for perspective student travel needs and day-of logistics.
The administrative support will include maintaining student records and managing student acceptance into the program, connecting existing students with internship/job opportunities, assisting with course registration, removal of advising holds and the completion of MOUs with internship sites.
The financial support will include providing support and training for students for travel authorities and expense reports, creating purchase orders for conference and retreat planning, promotional items as well as general supplies, etc., conducting regular training for both existing and onboarding students on travel policy and expense processing, entering tuition waivers for graduate students in consultation with the Business Support Leader and Department Head.

Financial Support:

  • Provide support and training for graduate and undergraduate students for TAs and expense reports.; On behalf of the department, create purchase orders for conference and retreat planning, promotional items, as well as general supplies, etc.
  • Conduct regular trainings for both existing and onboarding students on travel policy and expense processing; Enter tuition waivers for students in consultation with the Business Support Leader and Department Head; Comply with budgetary guidelines for the department as outlined by the Business Support Leader and Department Head
  • As needed, examine documents submitted for travel reimbursement for accuracy and compliance with policies and procedures; Review records of receipts and disbursements.

General Administrative Duties:

  • Provide administrative support for the department undergraduate and graduate program; Utilize UGA and Graduate School systems to maintain student records and manage student acceptance into the program.
  • Connect existing students with internship opportunities and assist with registration, removal of advising holds and the completion of MOUs with internship sites; Assisting with class registrations, and responding to student queries about assistantships, etc.
  • Advise students by providing information on both the department as well as Graduate School, academic procedures, policies, guidance, and problems resolution; Administer student support to enrolled and prospective students with graduation processing, withdrawals, information sessions, receptions, and student orientations.
  • Maintain technology and general upkeep of graduate student office space and work with the Departmental Admin by providing student info for desk assignments and/or laptop rentals.
  • Approve jobs postings to our Departmental online job board, and provide support to companies who provide paid internships to the job board.
  • Tracking scholarship cycles to ensure accuracy on our non-UGA scholarships lists for undergraduate students. Provide information to web content manager to maintain graduate and undergraduate webpages in assistance to Undergrad/Grad Coordinators.

Duties/Responsibilities
Recruiting and Other Administrative Duties:

  • Order and maintain departmental promotional items for recruiting needs. Assist the Horticulture Graduate Student Association and Undergraduate Ambassador Programs; Attend and contribute to college-level recruitment meetings and help plan and table at recruitment events (some of which may require travel). Serve as the Departmental contact for prospective students' meetings and department tours.
  • Serve as a contact for Department to meet with perspective students and give facility tours. Organize and schedule meetings, seminars, conference calls, orientations and academic retreats, including planning for perspective student travel needs and day-of logistics; Coordinate with faculty at all three campuses for these recruitment needs (Athens, Griffin, and Tifton).
  • Take and maintain meeting minutes at teaching committee meetings and as needed by the Department Head. Provide support to the Seminar Committee, arranging seminar scheduling/sign-ups, reserving seminar meeting locations, and providing remote teaching technology support for the three campuses.

Academic Support:

  • Coordinate with Department Head and faculty information about offered courses for each semester. Ensure that all courses, including those cross-listed with other departments, are entered into the course scheduling platforms.
  • Handle the POD and other clearances for student registrations and create research and thesis/dissertation courses for each Graduate advisor and their students.
  • Coordinate/collect course evaluations for the department and exit interviews for graduating students with the Department Head. Assist faculty with accessing course evaluation data. Compile the data required for reporting learning outcome assessments and assist the Department Head, Graduate Coordinator, and Undergraduate Coordinator in preparing reports.
  • Manage the graduate student handbook, including updating relevant information, adding new content and working with the Department Head and Graduate Coordinator to identify improvements.
  • Manage departmental travel awards and work with the Undergraduate Coordinator, Business Support Leader and Department Head with the distribution of scholarships to students in Scholarship Universe; Present accurate reports related to travel awards spending for Department Head.
